Card Machine FAQs

 

Serving your customers

  1. Your card machine supports VISA, Mastercard, American Express, Diners Club, RCS as well as SASSA cards. Digital wallets such as Apple, Samsung and Google Pay are also supported.
  2. To accept payments from American Express, Diners Club or RCS cards contact them directly to sign-up.

  1. Tap Sale on the home screen and enter the amount.
  2. If you have customer tips enabled, give the card machine to your customer to choose their tip.
  3. Next, follow the prompts on the screen. Contact Merchant Support to see if you qualify for refunds.

  1. Tap Settings on the home screen, scroll to Sales settings and turn on Customer Tip.
  2. Next time you make a sale, give your card machine to your customer. They’ll have the option to choose a tip percentage, enter a custom amount, or skip the tip.

  1. Unfortunately, QR payments aren’t available on your card machine.

  1. Tap Refund on the home screen and enter your PIN. Enter the amount, then follow the prompts on the screen.
  2. Based on your permissions, your manager or another team member may have to authorise the refund.
  3. Don’t have a Refund button on your home screen? Contact Merchant Support to turn on refunds for your business.

  1. Tap Cash Withdrawal on the home screen and enter your PIN. Enter the amount, then follow the prompts on the screen.
  2. Based on your permissions, your manager or another team member may have to authorise your withdrawal.
  3. Don’t have a Cash Withdrawal button on your home screen? Contact Merchant Support to turn on withdrawals for your business.

  1. Tap Balance Enquiry on the home screen, then follow the prompts on the screen.
  2. Let your customer insert, tap or swipe their card and enter their PIN. Your customer will see their balance on the screen, and can choose to print a receipt.
  3. Don’t have a Balance Enquiry button on your home screen? Contact Merchant Support to turn on balance enquiries for your business.

  1. Most declined transactions are a result of the customer’s bank not allowing the transaction.
  2. Your card machine will show you why it was declined and tell you what to do to next.
  3. If your sales are being declined consistently, or you encounter a decline reason you don’t recognise, contact Merchant Support.

  1. Unfortunately, cardless transactions aren’t available on your card machine right now.

  1. Tap Email Receipt on the Transaction Details screen and give your card machine to your customer to enter their email address.
  2. You can email receipts for a transaction you’ve just completed, or for a past transaction from Transaction History.

  1. You can print receipts on Capitec Print card machines.
  2. To print a receipt, tap Print Customer Receipt or Print Merchant Receipt on the Transaction Details screen.
  3. You can print receipts for a transaction you’ve just completed, or for a past transaction from Transaction History.

  1. On your Capitec Print machine, tap Settings on the home screen, scroll to Sales settings and turn on Print Merchant Receipts.
  2. The merchant receipt will now print automatically after each transaction.
  3. Unfortunately, you can’t automatically print customer receipts right now.

  1. Find the transaction in Transaction History, tap it to open transaction details, then tap Print Customer Receipt or Print Merchant Receipt.
  2. Enter your PIN and tap Continue to print the receipt.

  1. Your card machine requires a PIN to re-print receipts to protect your business against receipt fraud.

  1. Your receipt paper roll is most likely inserted upside-down.
  2. Remove your receipt paper roll and re-insert it with the free end toward the screen, feeding up from underneath the paper roll.
  3. If your receipts are still blank, it may mean that the printer has been damaged. Contact Merchant Support for assistance.

  1. Your receipt paper may have run out. Check your paper roll.
  2. Your receipt paper roll may be inserted incorrectly. Make sure it’s inserted so that the free end feeds up toward the screen from the bottom of the roll.
  3. The printer may not be ready to print yet. Try again in a few minutes.

  1. 100 transactions are shown at a time. To see more, tap Load More.
  2. You can also use the Date filter to select a date range of up to 90 days to see previous transactions done on any of your card machines.

  1. There can sometimes be a short delay between completing your transaction and it becoming visible under Transaction History.
  2. Check again later.

  1. From Transaction History, tap Filter in the toolbar.
  2. Under the Card Machine filters, tap All card machines and then tap Apply.

 

Running your business

  1. To change your PIN, tap Settings on the home screen, scroll to Manager Profile settings and tap Update PIN.
  2. Enter your registered email address and tap Send. Check your email inbox, we’ll send you an email containing a link to reset your PIN.
  3. If you need to update your email address, contact Merchant Support.

  1. To update your manager user, contact Merchant Support.

  1. For your security, when your PIN has been entered incorrectly 5 times, your profile is locked.
  2. To unlock your profile, reset your PIN. Tap Forgot PIN, enter your registered email address, and follow the link to reset your PIN.

  1. Your PIN reset email can only be sent to your registered email address. Make sure to use the credentials you entered when signing up for your card machine.

  1. Tap Settings on the home screen, scroll to Staff settings and tap Manage Team Members.
  2. To add a team member, tap Add New Team Member and follow the 2-step process.
  3. To delete a team member, select their name and tap Delete in the toolbar.
  4. Team members can be added or deleted by the manager or by a team member with permission to manage other team members.

  1. Tap Settings on the home screen, scroll to Staff settings and tap Manage Team Members.
  2. Select the team member and tap Change PIN in the toolbar. Follow the prompts to reset their PIN.
  3. A team member’s PIN can be changed by the manager or by a team member with permission to manage other team members.

  1. Tap Settings on the home screen and scroll to Staff Settings.
  2. Set up your team from Team Members if you haven’t already. Then turn on Sales Tracking. Next time they make a sale, your team member will choose their profile first.
  3. You can track your team members’ sales from Cash Up every day.

  1. Your transactions are settled automatically at 2:15 am every day. Your settlement is paid out into your bank account a few hours later.
  2. Any transactions made after 2:15 am will be part of the next day’s settlement.

  1. Your settlement time is fixed. This way settlement happens reliably so you never miss a payout.

  1. As you trade, your card machine stores your transactions in a batch. Once this batch is settled, your Capitec Print machine lets you print a receipt that shows a summary of these transactions.
  2. You can choose a short receipt that shows an overview of your sales totals, or a full report of all the transactions in the batch.
  3. You can print your batch receipt from Batch Settlement in 2 ways
    • When you’ve settled your current batch manually, tap Print Batch Receipt
    • When your batch has settled automatically, tap the Previous tab and then Print Batch Receipt

  1. On your Capitec Print Machine, tap Batch Settlement on the home screen, then tap the Previous tab
  2. Tap the batch you’d like to print a receipt for, then tap Print Batch Receipt
  3. You can print a receipt for any of your previous 7 batches.

  1. Unfortunately, you can’t email your batch receipt from your card machine right now.
  2. You can download your settlement report from the Merchant Portal and send it by email.

  1. Your commission may be have been deducted
  2. Transactions made after 2:15 am may appear on your batch receipt but will only be paid out in the next day’s settlement
  3. If you have a business loan, your repayments may have been deducted

  1. On your Capitec Print machine, tap Settings on the home screen and scroll to Batch Settlement settings.
  2. Find Set Batch Receipt Format and tap the More icon. Select Report from the pop-up menu.
  3. The next time you print your batch receipt it will show all the transactions in the batch.

  1. Unfortunately, you can’t see settlement details for all your devices on your card machine right now.
  2. You can access your full settlement report, including all your card machines, from the Merchant Portal.

  1. Contact Merchant Support to update your banking details.

 

Managing your card machine

  1. Tap Settings on the home screen. Under Card Machine settings, tap Software Updates.
  2. If there is a software update available , tap Download and Install to launch the update
  3. If the update doesn’t launch, it may mean that your card machine is already up to date

  1. Lift the flap at the top of your Capitec Print machine to open t he paper roll compartment, and remove the old paper roll.
  2. Remove the packaging from the new paper roll and insert it with the free end toward the screen, feeding upwards from underneath the paper roll.
  3. Pull on the free end of the paper so that a little bit sticks out when you close the compartment.
  4. Push the flap back into place.

You can buy thermal paper rolls from any reputable stationery supplier.

Your paper rolls should be 57mm x 40mm.
